Overview

The Project Manager - New Business Team will manage new client onboarding launches, conversions and large programme workstreams from initiation through go-live and transition. The role acts as a key delivery lead for client-facing project activity, ensuring that scope, plans, governance, risks, issues, operating model sign-off and project documentation are controlled in line with onboarding standards.

Responsibilities

  • Manage client-facing onboarding projects and assigned workstreams, including launches, conversions and deconversions.
  • Prepare and maintain project plans, workstream schedules, governance routines, dependency logs, issue logs and risk registers.
  • Lead or support client project calls, internal workstream meetings, governance forums and steering updates.
  • Coordinate across operations, operational readiness, business readiness, data migration, legal, risk, compliance, technology and client teams.
  • Define and confirm project scope with the sponsor and relevant internal and external stakeholders.
  • Monitor and control progress against agreed plans, milestones, deliverables and sign-offs.
  • Drive conversion runbook preparation and ensure project activity is sequenced for dress rehearsal, cutover and go-live.
  • Escalate risks, issues, delivery blockers and dependency concerns early, with clear proposed actions.
  • Maintain the New Client Onboarding playbook and ensure project tasks are completed on a timely basis.
  • Contribute to continuous improvement of onboarding methods, templates, governance standards and lessons learned.

Deliverables:

  • Integrated project plan and workstream delivery schedule.
  • RAID log, dependency log and escalation tracker.
  • Client and internal status reports.
  • Governance packs and steering committee updates.
  • Conversion runbook, dress rehearsal plan and cutover readiness inputs.
  • Operating model sign-off tracker and required approvals.
  • Project documentation pack, decision log and project closure/lessons learned material.

Governance Responsibilities:

  • Ensure project standards, templates and onboarding playbook controls are applied.
  • Support client and internal governance calls, steering updates and project reporting.
  • Maintain robust sign-off discipline across scope, operating model, data, readiness and implementation artefacts.
  • Track and escalate risks/issues so that governance forums receive accurate, decision-ready information.
  • Ensure delivery activity aligns to internal control, legal, risk, compliance and regulatory requirements.

Qualifications

  • Undergraduate degree or relevant professional qualification.
  • PMP, PRINCE2 or equivalent project/programme management certification.
  • Experience with implementation lifecycle, SDLC documentation, UAT, model office, transition planning or business readiness activity.
  • Knowledge of compliance, AML, data protection, financial crime prevention, client asset or regulated operating environments.

Essential skills

  • Excellent written and verbal communication with the ability to simplify complex delivery information for senior stakeholders and clients.
  • Strong organisation, prioritisation and attention to detail, with the ability to manage multiple workstreams under tight deadlines.
  • Proactive problem solving, issue resolution, escalation management and the ability to create momentum across teams.
  • Confident use of Microsoft Office tools, project plans, status reports, RAID logs, runbooks and governance materials.
  • Ability to lead workstream meetings and drive follow-through across direct and indirect contributors.

Experience

  • Experience delivering complex client-facing onboarding, conversion, launch or transformation projects in a regulated financial services environment.
  • Strong project delivery discipline, including planning, dependency management, risk and issue management, reporting and stakeholder communications.
  • Experience operating in a matrix environment with multiple internal functions, senior stakeholders, client contacts and third-party dependencies.
  • Practical experience managing documentation, sign-offs, governance packs, workstream status and delivery artefacts through the project lifecycle.
  • Project management experience in client onboarding, fund administration, transfer agency, operations change or similar financial services delivery.
  • Understanding of Transfer Agency operations, mutual fund products, operating models, fund setup, client servicing and distribution channels.
  • Familiarity with regulated financial services controls, quality standards, operational risk, legal/risk/compliance review and client governance.
  • Awareness of onboarding concepts including due diligence, gap analysis, TOM design, fund flow, reporting matrix, SLA/KPI/MIS and handover planning.

Stakeholder Management Requirements:

  • Act as a key contact for client project coordination and project status.
  • Build strong working relationships with internal business units, client stakeholders and third parties.
  • Communicate progress and risks clearly to the Project Sponsor, Programme Manager, Head of Onboarding and workstream leads.
  • Manage expectations transparently, especially where scope, timing, dependencies or readiness issues change.
  • Coordinate input from cross-functional teams and ensure ownership is clear for each delivery action.
