Overview

Expleo is seeking a Business Analyst – Workday Optimisation & SmartRecruiters Implementation to join our team supporting a major transformation programme at one of our retail clients. This role will be instrumental in driving the successful delivery of HR technology enhancements, focusing on Workday and SmartRecruiters platforms. The ideal candidate will bring strong business analysis expertise, stakeholder engagement skills, and a passion for process improvement within HRIS and ATS environments.

Responsibilities

  • Collaborate with stakeholders to define and finalise Business Requirements Documents (BRDs) aligned to Workday module implementations.
  • Elicit, refine, and document future-state (to-be) processes for the migration between Workday and SmartRecruiters.
  • Identify and document process gaps and opportunities for improvement within the target operating model.
  • Map current-state (as-is) processes to support future-state design and stakeholder understanding.
  • Gather and validate key data elements across current and future processes.
  • Engage with business teams to understand data usage, dependencies, and implications of changes.
  • Review existing reporting mechanisms and identify new reporting requirements and redundancies.
  • Apply working knowledge of Workday and SmartRecruiters to support solution design, testing, and change activities.
  • Collaborate with internal stakeholders, SMEs, and third-party vendors to support successful deployment and optimisation.
  • Facilitate workshops and stakeholder interviews to inform solution design and decision-making.
  • Produce high-quality project deliverables aligned with governance frameworks and stage gate reviews.
  • Review and validate low-level solution design artefacts to ensure alignment with business needs.
  • Liaise with configuration, integration, and reporting teams to ensure accurate delivery of business requirements.
  • Support testing phases, including requirement traceability and defect triage.
  • Develop requirement traceability matrices to support delivery and validation.
  • Track issues and risks, ensuring timely resolution and mitigation strategies.

Qualifications

  • Relevant third level qualification or equivalent work experience

  • Management qualification or relevant years of experience

Essential skills

  • Business Analysis & Requirements Gathering: Skilled in creating and finalising Business Requirements Documents (BRDs), mapping current-state and future-state processes, and supporting transformation initiatives.
  • Stakeholder Engagement: Proven ability to engage with business SMEs and technical stakeholders across multiple markets and languages. Experienced in facilitating workshops and interviews.
  • Process Design and Improvement: Strong capability in identifying process gaps and opportunities for efficiency within target operating models.
  • Data Analysis: Proficient in gathering, validating, and interpreting key data elements, understanding data dependencies and implications of changes.
  • Reporting and Metrics: Experienced in reviewing existing reporting mechanisms and defining new reporting requirements.
  • Project Delivery: Skilled in producing high-quality deliverables aligned with project governance and stage gate reviews.
  • Testing and Quality Assurance: Knowledgeable in supporting test phases, ensuring requirement coverage, and participating in defect triage.
  • Cross-Functional Collaboration: Effective in working with configuration, integration, and reporting teams to ensure alignment with business needs.
  • Documentation & Communication: Excellent written and verbal communication skills, with the ability to clearly document and present complex processes and requirements.
  • Technical Literacy: Working knowledge of HRIS and ATS platforms, particularly Workday and SmartRecruiters.

Experience

  • Workday Platform: Familiarity with Workday’s user interface, configuration, reporting, and integration capabilities.
  • SmartRecruiters Platform: Understanding of SmartRecruiters functionality and its role in recruitment workflows.
  • HR/Recruitment Domain: Background in HR systems, talent acquisition workflows, and HR transformation projects.
  • Change Management: Exposure to change management initiatives, including training, user adoption, and stakeholder support.
  • Solution Design Review: Experience reviewing low-level solution design artefacts and providing constructive feedback.
  • Requirement Tools & Techniques: Proficient in tools such as JIRA, ALM, Planisware, and Visio for documentation and tracking.
  • Large-Scale Implementations: Experience working on multi-country, multi-language HRIS/ATS implementations and optimisation programmes.
